Khata (Credit Book)

Regulars who pay later, without a notebook

Every restaurant here has them: the customer who eats now and settles on Friday, written in a diary nobody else can read. What that costs is not the credit — it is that the diary is not the till. Either the sale is rung up as paid, and your books show money that is not in the drawer, or it is not rung up at all, and your stock, your reports and your tax return are all wrong.

A credit sale is a real sale

It completes, it prints, its ingredients come out of stock and it is counted in the day's figures — because it happened. It simply has not been paid for, which is what the reports now say out loud instead of you finding out at closing time.

Their old balance, before you add to it

Turn the Khata on at Complete and pick the customer: what they already owe is on the screen while you are asking for money. That is the conversation this replaces — "you still have 4,300 outstanding" said before the new bill goes on, not after.

The customer saves itself

A new name and number typed at the till becomes a customer record, and the order and the balance land on their book. Nobody types anybody into a Customers screen.

Every line, with the running balance

How it got to 4,300 is on the screen rather than in somebody's memory: each bill and each payment, in order, with what was owed after it. Nothing is edited or deleted — a mistake is corrected with another line, which is exactly why both sides trust a khata.

Add Payment shows all four figures

The date, what they owed, what they are handing over and what will be left — on screen before anything is saved, so the person taking the money and the person giving it are reading the same numbers. The money then reaches your accounts and your open till session exactly as money at the counter does.

Who owes, and for how long

The list a shopkeeper actually wants on a Friday: heaviest debt first, with how long each one has been outstanding and a WhatsApp link beside the number. The Khata report ages it — under a week, under a month, over sixty days — because a debt at ninety days is a different problem from one at nine.

Does a credit sale still count as a sale?

Yes — on the day it happens, which is what your stock and your tax figures need. Your takings for the day will be higher than the cash in the drawer by exactly what went on the book, and the Sales, Cash Flow and Khata reports all say so.

Can a cashier give credit?

Only if they can give a discount. Putting a bill on the book needs the same permission, so a till operator who cannot discount cannot give credit either.

What if they pay part of the bill?

Take what they hand over as a normal payment and the rest goes on the book. The receipt, the reports and the ledger all show the split.

Can I write a bad debt off?

The owner can adjust a Khata by hand with a reason against it, and the adjustment is a line on the book like any other — nothing is ever deleted.
