Table bookings

Reservations at the counter and from your website, the live floor, and the waiting list.

Switching bookings on

Settings → Modules

Switch on Settings → Modules → Table Bookings (Reservations). A Table Bookings link appears under Management, badged with how many bookings are waiting for an answer.

The module is marked Beta. It works, but it is still under testing — please report anything that looks wrong.

Set your tables up first. Bookings are fitted to real tables with real capacities, so an empty Tables page means nothing can be booked.

The booking rules

Under the module switches is a Booking rules block that decides how the diary behaves.

First booking at and Last booking at are your service hours, starting at 12:00 and 23:00.

Time slots every (minutes) starts at 30 — that is how far apart the offered times are.

A table is held for (minutes) starts at 90, and Gap between sittings (minutes) at 15 for clearing and laying up.

Deposit amount, Visits before a guest counts as VIP and a total spend threshold finish the block.

What the hold and the gap actually do

  • A table is held for: 90 minutes. Gap between sittings: 15 minutes.
  • A guest books table 4 for 8:00 PM.
  • Table 4 is then unavailable to everybody else until 9:45 PM.
  • The next bookable sitting on that table is 9:45 PM.
  • Shorten the hold if your tables turn faster than that, or you will turn bookings away for no reason.

The host stand

Table Bookings

Table Bookings is the screen for whoever meets the guests. It opens on today, with a date picker and a search box for a name, a phone or a booking code.

Cards at the top show Bookings and how many guests are expected, how many are Awaiting confirmation, how many are Seated now, how many seats are Free for walk-ins, and how many are on the Waiting list.

Tabs filter the list to All, Pending, Confirmed or Seated.

The floor right now draws every table by area — green is free for a walk-in, yellow is held by a booking, red is in use.

Regular guests are labelled, with a VIP badge once they pass the thresholds you set, and a first-time guest is marked as new.

Taking a booking and seating the party

New Booking asks for the Guest name, phone, e-mail, the number of Guests, the Date and the Time. The time list shows how many tables are free in each slot.

Leave the table on Auto — best fitting free table, or pick one yourself.

There are boxes for Special requests, an Internal note, how it was Booked via — At the counter or Phone call — and any Advance taken.

On the day: Confirm accepts a booking that is waiting, Seat seats the party, Done closes it out when they leave, and No-show marks a party that never turned up and frees the table.

  2. 2 Type the guest name, phone and the number of guests.
  3. 3 Pick the date and a time from the list of free slots.
  4. 4 Leave the table on Auto unless the guest asked for a particular one.
  5. 5 Save the booking.

Booking a whole hall or floor

Table Bookings

Book the whole hall / floor holds an entire area for a party or a private event. The halls offered are the Floor/Area values you typed on your tables.

Every table in that area is reserved for the sitting, blocked from other bookings and from walk-ins, and freed again when the party leaves.

If no hall is completely free at that time the screen says so, and you pick another slot.

The waiting list

With Waiting list for full slots switched on, a guest whose time is fully booked joins a queue instead of being turned away.

The host stand has an Add to waiting list form for walk-ins, and each entry has a button to tell the guest a table is ready and one to seat them now, which creates the booking.

Bookings from your website

Settings → Modules

Take bookings on the store front adds a Book a Table page to your site, with live availability.

Let guests pick their own table shows them the floor plan with the free tables at their chosen time, so somebody can ask for the window seat. With it off, you seat them on arrival.

Confirm online bookings automatically is off to start with, and that is the recommended setting: bookings arrive as awaiting confirmation for you to accept.

The guest gets a link to manage their own booking, so they can cancel or move it themselves up to the cutoff you set.

Pre-ordering food with a booking

Table Bookings

Allow food pre-ordering lets guests choose their food while booking, and lets you add a pre-order to a booking taken at the counter.

Nothing reaches the kitchen until you seat the party — seating them sends the pre-order straight through as a dine-in order on their table.

The booking shows how many items were pre-ordered and offers a link to view the kitchen order once it exists.

Pre-ordering is worth switching on for a set-menu event and worth leaving off for ordinary evening bookings, where guests want to choose at the table.
